Commercial Customer Service Representative

We will provide training to individuals with customer service experience in a production or fulfillment company, not limited to hospitality.
Applicants with knowledge of printing processes, equipment, inks, substrates, layouts, finishing, and binding are preferred. This includes experience with offset, digital, variable, large format, direct mail, and folding cartons. Only apply if you have at least 1 year of experience in customer service, order entry, or customer support.

The position offers a salary along with overtime pay and commission for upselling and bringing in new accounts. Full benefits and up to 6 weeks of vacation are available for individuals with experience in handling large accounts and managing projects.

The Customer Service Representative will:

  • Provide administrative support to the Account Manager, such as reporting and data collection.
  • Act as a liaison between manufacturing and cross-functional teams, representing the voice of the customer.
  • Receive, verify, and retain customer purchase orders.
  • Ensure pricing accuracy on purchase orders compared to contracts or customer pricing.
  • Confirm receipt of purchase orders with customers, including pricing and delivery dates.
  • Ensure timely order processing and release manufacturing tickets to scheduling and production.
  • Initiate internal requests for art, prep work, structural drawings, and samples.
  • Verify specifications and requirements for art, structural drawings, and dies.
  • Respond to customer inquiries regarding order status and provide routine reports on open orders.
  • Create and maintain customer requirements in the supply database for all company sites.
  • Collaborate with planners to define order priorities and address changes.
  • Generate and verify data entry for manufacturing tickets.
  • Maintain customer information in ERP and estimating systems.
  • Facilitate new customer credit applications and establish customer profiles in the system.
  • Ensure customer price lists are up to date and provided to the manager for central filing.
  • Coordinate meetings with pre-press to review artwork and proofing requirements.
  • Coordinate meetings with quality, pre-press, planning, or operations for new business transitions.
  • Report quality-related issues to Quality Assurance Management.
  • Manage customer sample and drawing requests, ensuring sales details are provided and samples are delivered to sales.
  • Generate monthly performance metrics for assigned customers, including order lead-times, changes, and volume history.
  • Initiate internal requests for color matches if required.
  • Manage customer site visits and assist in coordinating quality audits.
  • Provide customer samples upon new art runs according to customer requirements.
  • Manage customer finished goods inventory, define reports, and coordinate regular customer reviews.
  • Coordinate site-specific projects or sample runs as needed.
  • Track customer-specific opportunities for process improvements.
