Position Overview: The Executive Assistant position provides top-level administrative support to executives, with responsibilities including research, report preparation, information handling, and clerical tasks like correspondence, visitor reception, conference call setup, and meeting scheduling. The role demands strong organizational abilities, attention to detail, discretion, and effective task prioritization skills.
Roles & Responsibilities of the Executive Assistant:
• Manage executives' schedules, arranging appointments, meetings, and travel.
• Plan and coordinate meetings, conferences, and events, preparing agendas, taking minutes, and handling arrangements.
• Prioritize and manage incoming correspondence, emails, and calls, responding or redirecting as required.
• Conduct research and compile data to aid executives in decision-making.
• Create and revise correspondence, presentations, and reports for distribution.
• Maintain confidentiality and professionalism when handling sensitive information.
• Provide proactive administrative assistance to meet executives' needs and ensure operational efficiency.
• Communicate with internal departments, external partners, and clients on executives' behalf.
• Maintain accurate records, both electronic and hard copy, for easy access.
• Support executives with special projects as assigned.
• Manage office supplies and equipment availability and functionality.
• Act as a gatekeeper for executives, managing their time and communications effectively.
• Cultivate positive relationships with stakeholders, representing executives with professionalism.
• Stay updated on industry trends and company policies.

• Exceptional organizational and time-management capabilities, with effective multitasking and prioritization.
• Demonstrated discretion and confidentiality in handling sensitive information.
