Fund Administrative Coordinator

Location: New York, NY

Our client, a Real Estate Investment Firm located in New York City, is seeking a Fund Administrative Coordinator. With a primary focus on distressed, deep value add and contrarian investments within the United States, they manage a diverse portfolio of real estate investments and have over $4.0 billion of equity capital under management.

They are currently in need of a Fund Administrator to provide support to the Finance Group, which consists of a team of 7 professionals. The ideal candidate for this role would have previous experience supporting tax or accounting professionals, with a strong understanding of compliance, regulations, and funds. Additionally, proficiency in Excel and knowledge of daily tasks such as journal entries and cash advances is required.

This position offers a hybrid schedule, allowing for either 3 days in the office or, occasionally, 4 days in the office.


  • Directly assist the CFO, VP of Tax & Finance, and the Finance staff
  • Support the tax department by handling all certified mailings for tax filings and returns. This includes tracking mailing dates, return receipts, scanning, saving files, and updating tracking systems.
  • Work closely with the Finance department to handle communication between Finance and their 3rd party administrator. This involves scanning and saving funding memos to the LAN, forwarding them to the fund administrator, and providing appropriate audit documentation.
  • Process invoices approved by the CFO to be paid by the funds, and forward them to the fund admin for processing. All documents must be scanned and filed according to internal processes.
  • Log onto the online banking platform to set up payments for bills and ensure they are consistent with instructions before releasing them to the CFO and VP of Finance for approval.
  • Track all payments made in the wire log to maintain a comprehensive record of all payments to vendors, providers, or other recipients.

The salary range for this position is $70,000 to $80,000, plus a bonus, and benefits. All benefits are covered at 100%. The company offers generous benefits, including free daily lunches and 3 weeks of paid vacation.
