Roles and Responsibilities
• Provide support for procurement and accounts payable tasks, such as vendor setup, purchase order creation, item verification, and invoicing record-keeping.
• Obtain pricing for inventory items, create inventory labels, and ensure proper placement of parts in designated bins.
• Receive deliveries, unpack boxes, verify contents against packing slips, and accurately date, stamp, and sign packing slips before filing purchase orders.
• Maintain inventory control by receiving inventory, assigning locations, creating new part numbers, tracking materials usage, and conducting cycle counts.
• Collaborate with the Administration Manager to address inventory transactions, issues, and problems to facilitate monthly reporting.
• Locate and manage all inventory items for maintenance and E&I in Maximo.
• Set up and maintain inventory items in Maximo.
• Enter PRs in Maximo and process POs in PS for inventory items, goods, and services.
• Assist in unloading large parts with the use of a site fork truck.
• Resolve order and invoice discrepancies with vendors.
• Generate receipts in Maximo for Services POs.
• Gather information for vendor setup and updates.
• Manage removal of obsolete parts from inventory and organize the warehouse inventory.
• Responsible for planning, executing, and reporting on 1st trimester cycle counts and year-end physical inventory events.
• Coordinate with the Maintenance Manager, vendors, and other Plant personnel as necessary through attending morning meetings.
• Perform additional tasks as requested by the Administrative Manager.
Required Education and Experience
• High School Diploma or equivalent
• Proficiency in understanding procedures and instructions specific to the assigned area.
• 2 years of general office experience
• 1 year of warehouse experience
• Excellent verbal and written communication skills
• Intermediate proficiency in MS Office
• Strong desire to take on additional responsibilities and ability to prioritize and manage multiple assignments while meeting deadlines.
