Legal Support Specialist

Our client is offering an opportunity for a Legal Support Specialist position that will serve as a hybrid Legal Support Specialist/Receptionist role. This position provides complex secretarial, administrative, and substantive legal support for a group of attorneys in our Fort Worth office. Additionally, this position will also handle Receptionist functions in our downtown Fort Worth office.
Essential Duties and Responsibilities:
- Serve visitors by greeting, welcoming, and directing them in a professional and courteous manner.
- Manage and distribute mail and packages, including electronic communication, as needed.
- Utilize technology resources to ensure efficient operation for the group of attorneys.
- Prepare, format, edit, and transmit documents using office software applications.
- Demonstrate knowledge of legal processes to facilitate accurate preparation of client documents and meet filing or closing deadlines.
- Coordinate e-filings in state and federal courts and agencies.
- Handle incoming and outgoing mail, faxes, and document scanning.
- Ensure proper organization and filing of documents in paper and electronic workspaces/folders.
- Maintain calendars for attorneys, including scheduling appointments, court settings, and travel arrangements.
- Manage Outlook contacts for each attorney as required.
- Assist with opening and closing files and performing conflicts checks.
- Support attorneys with timesheets and billing matters.
- Process reimbursement requests for attorneys and client costs.
- Set up and maintain conference rooms for meetings and depositions.
- Provide facilities support, including reporting maintenance issues, managing supply room, and handling record-keeping tasks.
- Ensure tidiness and organization of kitchen/breakroom, supply cabinets, and copying room.
- Receive and distribute mail, documents, packages, and courier deliveries.
- Order, track, and restock kitchen and office supplies.
- Maintain professional and positive relationships with clients, demonstrating discretion and judgment.
- Regular and punctual attendance is required.
Qualifications and Skills Required:
- High school diploma or equivalency required; associate degree or related education desirable.
- 3+ years of litigation secretarial experience in a law firm environment preferred.
- Proficiency in Word, Excel, PowerPoint, Outlook, and PDF software applications.
- Familiarity with legal practices, terminology, documents, and court procedures.
- Attention to detail.
- Solution-oriented approach and ability to work under pressure with multiple priorities.
- Excellent typing, spelling, grammar, proofreading, and clerical skills.
- Ability to coordinate work activities, prepare legal correspondence and documents, and maintain files and records.
- Proficiency in operating standard office equipment.
