Bid Coordinator

Location: Columbia, SC

Our partner firm, a rapidly expanding company in the civil engineering industry, is seeking a skilled Bid Coordinator to join their team. This position is crucial in creating compelling bids that are essential for business growth and securing new contracts. As a Bid Coordinator, your responsibilities will include gathering necessary information, adhering to the company's formatting standards for each bid, and ensuring approvals are obtained before submission. This role requires excellent organizational skills, the ability to thrive under deadlines, and proficiency in written communication. The ideal candidate is detail-oriented, values accuracy, and has a talent for persuasive writing.

Job Responsibilities

- Develop, coordinate, write, and edit responses to solicitations, RFQs, RFPs, incorporating thorough research, technical content, graphics, page layout, and design.
- Collaborate with leaders in different departments to compile materials and oversee the bid process from start to finish.
- Carefully review solicitations, SOQs, RFQs, RFPs, ensuring content is error-free and meets specified requirements.
- Create and improve PowerPoint presentations, leave-behinds, and handouts for client meetings and interviews.
- Contribute to tracking and managing potential opportunities.
- Organize and participate in strategy sessions.
- Represent the company in pre-bid meetings and post-discussion debriefings as necessary.
- Provide support for other business development and marketing initiatives as needed.
- Maintain and update marketing department databases and documentation, such as resumes, project portfolios, photos, references, licenses, certifications, and project history.

Communication Skills

Candidates must have excellent project and time management abilities, with a strong attention to detail and organizational efficiency. Proficiency in writing, editing, and proofreading is essential, as well as the ability to handle multiple tasks and deadlines simultaneously.

Qualifications:

- Minimum of 2 years' experience in proposal and presentation coordination, with a background in marketing support within the Civil or Environmental Engineering fields.
- Bachelor's degree in English, Journalism, Communications, Humanities, Computer Science, or equivalent professional experience.
- Outstanding written and verbal communication skills.
- Ability to quickly absorb specialized knowledge and translate it into understandable content for external audiences.
- Strong, influential presence.
- Ability to quickly produce high-quality writing.
- Naturally curious with the ability to quickly familiarize oneself with diverse subjects.
- Proficient in prioritizing tasks and multitasking in a fast-paced, deadline-driven environment.
